Full-Time & Part-Time Positions

Position summary

This position will be responsible for working directly with clients in need of food assistance and implementing Meals on Wheels of Durham’s (MOWD) policies in a fair and consistent manner. The Client Services Coordinator must be able to work compassionately with our clients while being able to work independently in a very fast paced environment. 

JOB TYPE: Full-Time

PAY: The hiring range for this position is $45,000 to $52,000

Essential Duties and Responsibilities

To perform this job successfully, an individual must be able to perform the following satisfactorily; other duties may be assigned.

  • Enroll and track clients across different funding streams.
  • Conduct phone intakes, screenings, and assessments.
  • In conjunction with Durham Department of Social Services (DSS), accurately maintain client Wait List
  • Regularly communicate with clients, DSS, and/or external community agencies regarding client concerns and documentation requests.
  • Document services in accordance with funder requirements.
  • Effectively manage requests from clients or partner agencies to ensure proper resolutions.
  • Prepare daily and/or weekly meal orders, including route preparation.
  • Maintain current and organized client files via hard copies and/or computer-based file storage systems.
  • Prepare weekly, monthly, annual reports and data analysis as requested.
  • In partnership with the Director of Operations, evaluate and assess program outcomes.
  • Assist the Volunteer Services Coordinator as needed during delivery hours.
  • Attend community meetings as assigned.
  • Additional administrative and operational tasks as assigned.

Required/Preferred education and experience

Bachelor's degree from four-year college or university, or one to two years related experience and/or training; or equivalent combination of education and experience.

Salary and benefits

As a regular full-time employee working 30 or more hours per week, you will be eligible to receive medical, dental, and vision benefits. You will also be eligible for PTO, 11 Paid holidays, and enroll on our 403b retirement plan that provides a 3% employer contribution based on your salary. General Description

The Administrative Assistant provides support and assistance to the Executive Director and staff.  This part-time position manages specific program related activities and is responsible for various day-to-day office tasks and functions to ensure office operations run smoothly at all times. Tasks include, but are not limited to, front desk management, answering phones, maintaining office supplies, mailings, scheduling, and delegated HR administrative functions.

JOB TYPE: Part-Time

PAY: $16/hour

SCHEDULE: 4 hours shift, Monday through Friday.

Essential Duties and Responsibilities

  • Coordinates incoming and outgoing correspondence including in-person greetings, phone calls, faxes, scan, and emails.
  • Retrieve and distribute all incoming mail and coordinate outgoing mail, including package and mass mailings.
  • Places supply orders and coordinates with vendors for deliveries and makes trips to COSTCO periodically.
  • Serves as meeting coordinator for assigned meetings (set up conference room/ meeting space, order and set up catering, maintain conference room cleanliness).
  • Keeps break and reception areas orderly and organized. 
  • Maintains office supplies, marketing supplies, and food supplies inventory.
  • Maintains various contact lists.
  • Coordinates reference and background check information for ED
  • Prepares new hire packets for new employees.
  • Records invoices and checks received for bookkeeping.
  • Assists with maintaining the Donor Database-entering donations and creating acknowledgement letters
  • Send monthly invoices to private pay clients
  • Assists in coordinating volunteer logistics ; engages with all volunteers
  • Assists with volunteer roles, as needed
  • Assists with compliance program; i.e. Title VI, Car Insurance & Driver’s License
  • Generates additional reports as requested.

Education, Experience, and Qualifications

  • Associate’s degree preferred 
  • 1-3 year’s relevant experience in the support functions listed above and experience supporting a team.
  • Initiative, independent judgment, and discretion in managing confidential matters, materials, and sensitive issues.
  • Ability to successfully multitask, manage, and prioritize multiple projects.
  • Excellent written and oral communication skills, with an ability to communicate effectively and tactfully with all levels of staff, collaborating agencies, vendors, and clients and volunteers from diverse cultures.
  • Ability to work with a variety of software platforms, including, but not limited to Microsoft Office and Google Suite
  • Must be able to drive independently and have a valid driver’s license.

Meals on Wheels Durham is seeking a detail-oriented and customer-focused Enrollment Specialist to join our team. Reporting to the Director of Operations, the Enrollment Specialist will manage the client enrollment process, ensure accurate data entry and record-keeping, and provide excellent customer service to potential program participants. This role is ideal for individuals who are passionate about serving the community, have strong organizational skills, and can work effectively both independently and as part of a team.

JOB TYPE: Part-Time 1099 contract position

PAY: $18.75/hour

SCHEDULE: 12 hours/week for 20 weeks, 9 a.m - 1 p.m. , Monday, Wednesday and Friday

  • Manage inbound and outbound calls with potential applicants to guide them through the enrollment process.
  • Assist individuals in completing enrollment applications and uploading necessary documentation.
  • Maintain accurate records of applicant status using internal tracking systems.
  • Document call outcomes with concise notes in the client management software.
  • Provide clear and concise information to individuals about the Meals on Wheels enrollment process and program offerings.
  • Perform data entry, document management, and prepare enrollment-related reports.
  • Collaborate with team members to develop strategies for increasing enrollment and achieving enrollment goals.
  • Prepare and mail welcome letters, menus, and policies to new clients.

Education, Experience, and Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in a related field preferred.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in using computer systems and software for data entry, record-keeping, and customer management.
  • Ability to manage tasks in a fast-paced environment.
  • Demonstrated ability to build rapport and establish positive relationships with potential participants.
  • Self-motivated with a strong work ethic; able to work independently and collaboratively as part of a team.
